Booking system for swimming academies in Abu Dhabi
Swimming academies run differently from gyms or salons. Kids move through levels, families buy packages, classes are capped at a few swimmers per coach, and most academies use more than one pool. Here is what a booking system needs to handle.
What makes swim academies different
| Need | Why it matters |
|---|---|
| Levels | Kids are booked into a class by level, not just by time. Promotions need to move them up. |
| Packages | 8 or 10 sessions that expire. Balances must count down on attendance. |
| Small class caps | 4 to 6 swimmers per coach. A full class must stop taking bookings. |
| Make-ups | Missed lessons get rebooked inside the package period. |
| Several pools | Different venues, coaches and timings, one office. |
Where generic booking apps fall short
Most booking platforms are built for appointments: one person, one slot. Swimming is weekly, recurring, level-based and package-based. Academies end up working around the software with spreadsheets and WhatsApp anyway.
What we built
Our academy system was designed around how swim academies actually run:
- Parents book a weekly slot by level and venue, and keep it every week.
- Coaches mark attendance from the deck, and packages count down on their own.
- Reminders, make-ups, renewals and receipts all happen inside WhatsApp.
- The office sees every pool, every class and every balance on one screen.

You can tap through the whole thing yourself, as a parent, a coach and the office: try the academy demo.
